Privacy Policy

This policy explains how Voxline Ltd (“Voxline”, “we”) collects and uses personal data when you visit our website, create an account, or when our AI receptionist answers calls on your behalf. We comply with the UK GDPR and the Data Protection Act 2018.

Data we collect

  • Account data — your name, work email, business name and password.
  • Caller data — when an agent answers a call: the caller’s number, what they say, transcripts, recordings, and any details they provide (e.g. name, appointment time).
  • Usage data — how you use the dashboard, plus standard logs and cookies for security and analytics.

How we use it

We use account and usage data to provide and improve the service and to keep it secure. Caller data is processed solely to deliver the calls, bookings and follow-ups you’ve configured. We do not sell personal data, and we do not use caller data to train foundation models.

Where data is processed

Caller data for UK customers is processed and stored in UK/EU regions. Where a sub-processor operates elsewhere, we rely on appropriate safeguards such as the UK International Data Transfer Addendum. See our published sub-processor list for the third parties we use and where each processes data.

Your rights

You can access, correct, export or delete personal data, and object to or restrict certain processing. To exercise any right, email privacy@voxline.uk. You may also complain to the ICO.

Retention

We keep account data for as long as your account is active. Call recordings and transcripts follow the retention period you set in the dashboard; by default they’re kept for 90 days.
